We are looking for Heat Operations Project Administrator who would like to help us reach our mission to “earn customer loyalty and drive business growth by providing consistently excellent service”.

Purpose of this role

The Heat Operations Project Administrator supports the Heat Operations Project Manager in the delivery of heat network projects and internal change initiatives. This role involves maintaining accurate project documentation, coordinating updates from stakeholders, tracking actions and risks, and assisting with reporting to ensure projects are delivered on time and within scope. You will play a key role in supporting smooth communication between teams and ensuring processes are followed consistently throughout the project lifecycle.

Your key responsibilities are

Reporting to the Heat Operations Project Manager, you will provide day-to-day administrative and coordination support across a range of construction and business change projects.

You’ll play a vital role in maintaining accurate records, ensuring documentation is up to date and compliant, and supporting effective communication between internal teams and external partners.

Supporting the Heat Operations Project Manager in the delivery of project and change initiatives by managing administrative tasks and maintaining structured documentation.

Capturing and distributing accurate minutes and actions from meetings with internal and external stakeholders.

Updating version-controlled project documentation, including registers for risks, actions, and opportunities.

Populating and maintaining project status reports, ensuring key updates are recorded in a timely manner.

Assisting with the processing of legal documents, such as contracts and NDAs, and tracking their progress.

Raising and tracking purchase orders and invoices, ensuring they align with approved project spend.

Coordinating the call-off of equipment and services from third-party suppliers as instructed by the Heat Operations Project Manager.

Administering project folders and ensuring all documents are numbered, version-controlled, and stored in line with ISO 9001 standards.

Assisting in the creation and maintenance of operational and performance reports.

Support communication and collaboration between internal departments and external stakeholders.

Providing general project coordination support to help ensure deadlines and deliverables are met.

Qualifications

A Level (grades A–C) or equivalent Level 3 qualification (e.g. BTEC, NVQ, or apprenticeship) in a relevant subject.

Experience/Knowledge

Experience in a project support, coordination, or administrative role within a fast-paced environment.

Confident in managing and maintaining structured project documentation and reporting.

Experience working with internal teams and external stakeholders to support project delivery.

Abilities/Skills

Strong administrative skills with high attention to detail and accuracy.

Effective time management and the ability to prioritise tasks across multiple projects.

Clear and professional communication skills, both written and verbal.

Confident engaging with stakeholders across different teams and levels.

Proficient in using Microsoft Office applications (e.g. Excel, Word, PowerPoint) for reporting, communication, and data management.

Comfortable working with digital collaboration and document management tools such as Microsoft Teams and SharePoint.

Desirable

Degree or higher-level qualification in a relevant field (e.g. Business Administration, Project Management) or equivalent experience.

Foundation-level project management qualification (e.g. PRINCE2 Foundation, APM PFQ) or working towards certification.

Experience supporting construction, engineering, utilities, or infrastructure-related projects.

Familiarity with ISO 9001 standards and document control processes.

Involvement in tracking project budgets, purchase orders, or invoices.

Ability to interpret and summarise technical or project-specific information for reporting purposes.

Familiarity with project management or workflow tools (e.g. MS Project).
